Peek Protect Coverage by Spot
Our reservation software vendor, Peek Pro, provides the option to protect your experience through Peek Protect Coverage. This coverage is ONLY available if booking your reservation(s) online and cannot be added after your booking has already been confirmed.
Our terms & conditions, outing assortment, and guide/outing scheduling have been designed with Peek Protect Coverage and/or travel insurance in mind. Please be aware, when you confirm an outing with us, we no longer accept additional reservations on that date/time. Our private outings, prohibit other potential clients from signing up for tours that have already been confirmed.
We assign outings to our guides based around a 30-day schedule, which means late cancellations hurt our company, individual guides, and their families. If you decide to not utilize Peek Protect Coverage, then we would strongly advise purchasing travel insurance from another vendor for your upcoming visit. Trip insurance not only covers your payment/deposit; but also your flights, hotels, and other potential travel costs. Medical coverage purchased with travel insurance policies will also satisfy our requirement for health insurance.
What is Peek Protect?
If you cancel your booking on your own initiative at least 24 hours before the start of your first booking, Spot will refund 100% of the protected amount listed in your confirmation email. Additional services or fees will not be refunded.
Peek Protect starts at 12:01 AM UTC on the day after you purchase your first booking and lasts until 24 hours before your first booking starts. Peek Protect is not insurance but is rather a product provided by Spot, which is not an insurance company.
What is Excluded with Peek Protect
Peek Protect will not cover cancellations of any booking initiated by Trail Lovers. Additionally Peek Protect will not cover cancellations less than 24 hours before the start of your first booking.
What's the Cost for Peek Protect Coverage
Peek Protect costs 8% or 11% of the booking Value depending on the type of booking. Peek Protect is non-refundable, even in the event that you do not use Peek Protect.
How to Use Peek Protect Coverage
If you decide to cancel your booking at your own initiative at least 24 hours before the start of your first booking and you have purchased Peek Protect, Spot will refund 100% of the protected amount listed in your confirmation email. Additional services or fees will not be refunded.
There is no proof or documentation required to use Peek Protect. Refund requests should be processed within 24-72 hours of the request. Refunds should be processed within 72-96 hours of you receiving confirmation of the cancellation of your Booking.
Specific steps to process your refund using Peek Protect Coverage:
- Please click here at least 24 hours before the start of your first Booking if you wish to cancel and receive a refund. You will need to provide some basic information, including your Order ID Number, the Date and Time of your experience and a brief explanation of your cancellation reason.
- Spot will reach out via email to confirm that your Booking cancellation has been processed.
- Following this confirmation, Spot will issue you a refund within 72-96 hours, either directly or through Peek Travel. Refunds will be made in $USD and processed back to your original form of payment used to purchase Peek Protect. Please note it may take 5 to 7 business days for the funds to be returned to your account.
Questions About Peek Protect Coverage
Servicing and refunds under Peek Protect are exclusively provided by Spot. To ensure prompt service, all questions should be directed to Spot, not to Trail Lovers. Travel Insurance Is Highly Recommended (If Not Purchasing Peek Protect Coverage)
For your protection, we strongly recommend the purchase of travel insurance before your trip. Travel insurance provides you protection from trip cancellations/interruptions, travel delays, medical expenses, emergency assistance, cancelled flights, lost baggage, and baggage delay coverage -- to preserve your financial investment. We greatly suggest purchasing travel insurance to protect you and your group members against the unexpected.
Accidents, injuries, illness, flight delays, weather, natural events, pandemics, government shutdowns, and forest fires can cause unexpected cancellations within our penalty periods. Without Peek Protect Coverage or travel insurance, these events and more can result in a loss of your deposit or receiving a redeemable credit with Trail Lovers instead of a refund.
If you're visiting from a foreign country we suggest utilizing a travel insurance company based in your homeland. We recommend the following alternative travel insurance providers for our American customers:

Trail Lovers Terms & Conditions
Trail Lovers Excursions reserves the right to cancel outings due to unforeseen circumstances. If this is the case, a full refund of the amount paid will be given, including the deposit. Trail Lovers Excursions is not responsible for additional expenses incurred by preparing for the trip (for example: non-refundable advance purchase air tickets, clothing, equipment, visa fees, medical expenses, etc.).
Weather Considerations to Consider
While Sedona generally has sunny weather throughout most of the year, we do receive intermittent periods of precipitation throughout the year. Sedona also experiences over 100 wildfires a year in the surrounding Coconino National Forest, which sometimes can create smoky conditions for hiking/mountain biking. We can generally still hike & mountain bike despite having rain/snow/smoke present during or before our adventures. However, we have much less flexibility with mountain biking due to the potential damage to the trails caused by riding when the trail conditions are too wet.
In the event of us determining the trails to be too wet for mountain biking, we would offer your group the opportunity to reschedule to hiking. In the event of you not wanting that option, we would then provide a credit in the full amount of your reservation cost for a future visit. If the conditions were too wet to hike or mountain bike, we would provide a redeemable credit in the full amount of your reservation cost for a future visit.
We greatly encourage you to consider purchasing Peek Protect Coverage or another form of private trip insurance if you would prefer to receive a refund for your reservation versus a redeemable credit for a future visit.
Cancellation & Refund Policy
If you cancel or leave a scheduled reservation/trip for any reason with a paid deposit and without Peek Protect Coverage:
- More than 60 days prior to the trip start date, we will grant you a 75% refund
- Between 59 and 30 days prior to the trip start date, we will grant you a 50% refund.
- Between 29 and 15 days prior to the trip start date, we will grant you a 25% refund.
- Less than 15 days prior to the trip start date, or once the trip has begun, there will be no refund.
Outing Transfer Policy
If you transfer from one outing to another 30 or more days prior to the trip start date, there will be a $50 processing fee for each reservation and any overpayment will be returned to you without penalty. Less than 30 days prior to the trip start date, regular cancellation and refund policies will apply.
Gift Certificates
All Gift Certificates are 100% transferrable between users/clients and do not expire. Gift Certificates can be used for outing payment(s) & guide tips and cannot be refunded for cash at any time.
Payment & Confirmations
Our outings require a 100% deposit at the time of booking. All reservations must be completed online. Once a reservation has been confirmed, an emailed confirmation and itinerary will be sent to the individual responsible for booking, and a reminder will be sent out in the days leading into your outing.
Outing Itineraries
All Trail Lovers outings are subject to itinerary changes based on a variety of circumstances, including, but not limited to, permit availability, weather conditions, wildlife, park or public land closures, and forest fires. The price and duration of a hiking trip will never change once you’ve reserved your outing. Payments are not refundable for itinerary changes or public land closures. If a trip is cancelled due to circumstances beyond our control a redeemable trip credit equal to the full amount paid will be issued. This redeemable credit would be transferable to others and would have a 3 year expiration date from the original proposed start date of your outing.
