Payment Schedule
Our outings require a 100% deposit at the time of booking. All reservations must be completed online. Once a reservation has been confirmed, an emailed confirmation and itinerary will be sent to the individual responsible for booking, and a reminder will be sent out in the days leading into your outing.
Outing Itineraries
All Trail Lovers Excursions outings are subject to itinerary changes based on a variety of circumstances, including, but not limited to, permit availability, weather conditions, wildlife, park or public land closures, and forest fires. The price and duration of a hiking trip will never change once you’ve reserved your outing. Payments are not refundable for itinerary changes or public land closures. If a trip is cancelled due to circumstances beyond our control a trip credit equal to the full amount paid will be issued. This credit would be transferable to others and would have a 3 year expiration date from the original proposed start date of your outing.
Cancellation and Refund Policy
Trail Lovers Excursions reserves the right to cancel outings due to unforeseen circumstances. If this is the case, a full refund of the amount paid will be given, including the deposit. Trail Lovers Excursions is not responsible for additional expenses incurred by preparing for the trip (for example: non-refundable advance purchase air tickets, clothing, equipment, visa fees, medical expenses, etc.).
If you cancel or leave a scheduled reservation/trip for any reason with a paid deposit:
- More than 60 days prior to the trip start date, we will grant you a 75% refund
- Between 59 and 30 days prior to the trip start date, we will grant you a 50% refund.
- Between 29 and 15 days prior to the trip start date, we will grant you a 25% refund.
- Less than 15 days prior to the trip start date, or once the trip has begun, there will be no refund.
Outing Transfer Policy
If you transfer from one outing to another 30 or more days prior to the trip start date, there will be a $50 processing fee for each reservation and any overpayment will be returned to you without penalty. Less than 30 days prior to the trip start date, regular cancellation and refund policies will apply.
Gift Certificates
All Gift Certificates are 100% transferrable between users/clients and do not expire. Gift Certificates can be used for outing payment(s) & guide tips and cannot be refunded for cash at any time.
Activity Waivers
We require each of our clients to sign an individual Activity Waiver & Acknowledgement of Risks Agreement. The documents will be emailed to whoever reserves the outing, and will need to be signed prior to starting the trip. Our guides will have extra waivers on hand when they meet you on the date of your outing.
Medical Releases
We require medical releases for prospective guests over 69 years of age and for various circumstances such as history of cardiovascular disease, chronic illness, and other conditions and factors.
Travel Insurance
For your protection, we strongly recommend the purchase of travel insurance. Travel insurance provides you protection from trip cancellation/interruption, travel delays, medical expenses, emergency assistance, cancelled flights, lost baggage, and baggage delay coverage--to preserve your financial investment. We greatly suggest purchasing travel insurance to protect you and your group members against the unexpected.
Accidents, injuries, illness, flight delays, weather, natural events, government shutdowns, and even forest fires can cause unforeseen cancellations within our penalty periods.
Our terms and conditions, outing assortment, and scheduling have been designed with trip insurance strongly in mind. Please be aware, when you confirm an outing with us, we no longer accept additional reservations on that date/time. Our private outings, prohibit other potential hikers from signing up with tours that have already been confirmed.
We assign outings to our guides based around a 14 day schedule, which means late cancellations hurt both our company and individual guides. Trip insurance not only covers your payment/deposit; but also your flights, hotels, and other potential travel costs. Medical coverage purchased with your policy will also satisfy our requirement for health insurance.
If you're visiting from a foreign country we suggest utilizing a travel insurance company based in your homeland. We recommend the following travel insurance providers for our American customers:
